Office Manager Job Description and Duties Handbook.
As the office manager for Dockside Electronics, you have many moving parts and responsibilities. In this handbook, the job will be outlined and expectations spelled out.
Job Terms: Seasonal Only. Hourly Wage. No Benefits Included. This is an at will job.
Hours: Monday – Friday 9-5. Being on time for work daily is a necessity. All time off requests must be made on a time off request form and be approved by management. All time off is unpaid.
First and foremost, the office assistant is the first person that greets customers upon arrival and the one to answer the phone for all incoming calls. It is necessary to be jovial and greet each customer be it on the phone or in person with a helpful attitude, and willingness to make them feel like they are the only customer at that time.
Tasks Outline below. Each task expectation and instructions will be spelled out in the handbook.
- Answer all incoming phone calls. Take phone messages as necessary and give to the appropriate individuals. Voicemail transfers as necessary. If a call is of an urgent nature, you can reach out to the said individual and give the message, please keep all other messages for the return of staff.
- Daily mail to be collected from mailbox. Daily outgoing mail to be taken to Mystic Post Office.
- Receive ALL UPS/Fedex/Amazon/DHL Packages and Freight deliveries.
- All checks received, entered into QuickBooks and given to Tim for banking deposit. All A/R invoices that collate with incoming checks marked appropriately with check number, payment date, and filed in A/R folders in file cabinet in office.
- All credit cards run as necessary, entered into QuickBooks and slip attached to A/R invoices that go with payment, filed in A/R folders in file cabinet in office.
- All invoices received, entered into QuickBooks and filed in appropriate A/P folder in alphabetical order. Update all costs and MSRP pricing as needed.
- Setup all new inventory into QuickBooks.
- Setup new customer accounts, collecting ALL required information. Enter all information into QuickBooks.
- Mailing all necessary outgoing payments, invoices, and statements as assigned by management.
- Ordering and inventory of all hardware in garage bay.
- Ordering and inventory of all necessary cables in stockroom.
- Ordering and inventory of all antennas in second floor storage area.
- Keeping stockroom in a neat and organized manner. Keeping stock inventory for all shop supplies.
- Keep inventory and order as required of all office materials.
- UPS shipments as required by management.
- Maintain a clean and neat showroom and office. Empty garbage's regularly.
- Maintain a clean and sanitary restroom. Empty garbage's regularly.
- Maintain and clean garage bay as required. Empty garbage regularly.
- Maintain and stock all shirts/sweatshirts/customer swag. Make sure to hand out swag to customers.
- Monthly credit card statement reconciliation.
- Monthly A/P statement reconciliation of all open A/P vendor accounts.
- Assist with website and social media updates.
- Accurate record keeping of sales tax resale certificates and fish exempt certificates.
- Maintain soda machine, refill as necessary, retrieve money. Maintain ice inventory and sales to customers.
- Ensure when necessary all Dockside insurance liability certificates are on file with marinas. If a marina requests a copy, ensure it is supplied to them in a timely manner. Reach out to Lathrop Insurance to have certificates generated. Keep copy on file in office.
Please limit texting and cell phone use, especially when customers are in the showroom. Absolutely No texting and or scrolling on phone when customers are in the showroom. Everyone has calls they must take. If a personal call is necessary please take the call outside and do not conduct call inside of the showroom.
Breaks: Dockside offers a daily paid 30 minute lunch break for an 8 hour work shift. Any shifts less than 8 hours will not be offered a paid break. There is no set time for a lunch break. Any additional time off above the 30 minute break will be unpaid. Dockside is a no smoking facility. If you need to take a smoking break it must be done outside in the picnic area by the bath house.

The office assistant position requires some physical labor. Physical requirements include being able to lift items over 50lbs. Some lifting may be required above your head. The position entails several hours of sitting per day, however also requires walking, lifting, bending, kneeling.
